Who we are

This website is operated by Phaze4 Ltd, a company registered in England and Wales (company number 16405594), based in Salisbury, United Kingdom. Phaze4 Ltd is the data controller for the personal data described in this policy. You can reach us through the contact form.

The short version

This site does not use cookies, analytics, advertising, or tracking of any kind. The only personal data we collect is what you choose to type into the contact form, plus the routine technical logs any web server keeps. We use it to reply to you, and for nothing else.

What we collect and why

Contact form

When you submit the contact form we receive your name, email address, and message, plus your company name and area of interest if you provide them. We use this to respond to your enquiry and, if it leads to work, to carry out that work. The legal basis is our legitimate interest in responding to enquiries, and where relevant the steps needed to enter into a contract with you.

A copy of your submission is emailed to you at the address you gave, so you have a record of what you sent.

Anti-spam check

The form includes a short question to keep automated submissions out. Your answer is checked and discarded. If you answer incorrectly, our server records a temporary delay against your IP address so that repeated guesses are slowed down. This record expires within an hour of your last attempt.

Server logs

Our web server records the IP address, requested page, time, and browser type of each visit, as any web server does. We use these logs to keep the site running, to limit abuse of the contact form, and to diagnose faults. They are not used to identify or profile visitors. Logs are held on our server and rotated automatically; entries are normally kept for no more than a few weeks.

Who we share it with

We do not sell or rent personal data. The following providers process data on our behalf:

  • Mailjet (Sinch Mailjet, France) delivers the email containing your contact form submission to us, and the copy to you. Mailjet processes the message content and your email address for that purpose. Mailjet's servers are in the EU.
  • Google Fonts supplies the typeface used on this site. When a page loads, your browser requests the font files from Google's servers, which means Google receives your IP address as part of that request. Google states that it does not use these requests for tracking or advertising.
  • Let's Encrypt issues the certificate that secures the connection between your browser and this site. No personal data about visitors is shared with them.

Our server is hosted in the United Kingdom. Where a provider is outside the UK, the transfer is covered by the UK's adequacy regulations for the EU or by standard contractual clauses.

How long we keep it

Contact form emails are kept in our mailbox for as long as needed to deal with your enquiry and any work that follows, and are then deleted. If your enquiry does not lead to work, we delete it within twelve months. Server logs are rotated automatically as described above.

Your rights

Under UK data protection law you have the right to:

  • ask for a copy of the personal data we hold about you;
  • ask us to correct or delete it;
  • object to or restrict our use of it;
  • complain to the Information Commissioner's Office at ico.org.uk.

To exercise any of these, send us a message through the contact form. We will respond within one month.

Children

This site is aimed at businesses and is not intended for use by anyone under 18. We do not knowingly collect data from children.

Changes to this policy

If we change how the site handles personal data, for example by adding analytics or a live data feed, we will update this page and change the date at the top.
